I.       How to use InSite at Color World Printers

A.   This document outlines general instructions on how to use InSite Server from Color World Printers.

B.   There is additional help on every screen by selecting the Help button.

C.   Also, you may call Color World Printers and speak to Mike Burgard, (406-587-4508 OR 800-332-3303), at any time about any problem or send e-mail to mikeb@colorworldprinters.com.

II.    Logging In

A.   Open your web browser. See the customer installation instructions in your InSite Notebook for supported browsers.

B.   Java must be loaded and operating on your browser.

C.   You cannot block pop-ups during your InSite session.

D.   Enter proof.colorworldprinters.com as the URL.

E.   Enter your login name and password

1.     If you don’t have a login name, see your system administrator.

2.     Every user should have their own login so the system can track all actions accurately.

F.    InSite opens into the Jobs Screen

1.     Any open Jobs your company has will be listed on the left hand side of the screen.

2.     You can sort or view jobs by the basic parameters listed under the “Show” pull-down box.

3.     If you only have one job, you will go directly to that job.

G.  Each open job is selectable for further options

III.  Standard icons on All Screens

A.   Administrative Icons.

1.     The admin icons appear in the upper right-hand corner.

2.     P – This allows you to change your personal user profile. This includes permissions, phone numbers, and addresses. Normally, this will be done by the system administrator.

3.     ? – Help is selectable from this button. The help screens are fairly extensive and should be used when you are unsure of the proper action.

4.     X – This will log you out of InSite. The system logs you out after 30 minutes of inactivity if you do not select the log out button when you are finished working.

B.   Tool Bar

1.     The tool bar appears on all InSite screens (except Smart Review). It is the blue border around the screen. The icons are orange when highlighted and when selected. The icon for the page currently open shows in orange. For example, when you are on the jobs screen, the jobs icon remains orange.

2.     The common icons are the primary method of navigating InSite.

3.     The icons change depending on your page.

4.     The Job screen shows a Job icon and an Admin icon. Admin is normally reserved for the system administrator.

5.     The individual functions are discussed on the specific pages.

IV.Creating a Monitor Profile

A.   InSite allows you to create a monitor profile.

B.   The monitor profile is low-level calibration to produce consistent color.

C.   This feature is under rapid redevelopment and will change frequently.

D.   Create a Monitor Profile

1.     Click the Monitor icon in the upper right hand corner of the initial screen.

2.     A dialog box window appears “Create an ICC- monitor profile”.

3.     Complete the instructions for creating an ICC profile for your monitor as displayed onscreen.

4.     Certain LCD monitors will not display true color well.

E.    The ICC profile is saved in the file Insite_ICCMonitorProfile.icc in one of the following folders:

1.     PC - Documents and Settings\<username>\ApplicationData\Creo\SynapseInSite for Windows

2.     Macintosh OS 9 -System Folder\Preferences\Creo\SynapseInSite

3.     Macintosh OS X - Users\<username>\SynapseInSite

F.    Color management is turned on and off within the Smart Review portion of InSite which is explained later.

G.  Create a monitor profile only after the monitor has been on for 25 minutes.

H.   Caveats

1.     A low quality monitor will not provide a color accurate representation of any file in any program.

2.     InSite is not designed to provide exact color matching. It is a content and form on-line proofing tool. The color is pleasing color, not an exact color match.

3.     Since you created the file and all the colors in your file, you control what the color looks like. Our proofing system, whether an on-line proof or a Digital MatchPrint, only provides feedback on the colors in your document. The color reflects the quality of the initial scans and the quality of the scanner.

4.     Our job is to match the file to the proof to the press. If the file starts out with poor color images and/or poor quality graphics, it will be reflective in the finished printed piece.

V.   Jobs Screen

A.   This is the standard page when you log in.

B.   It lists all jobs according to a preset filter.

1.     The default filter displays all Active jobs.

2.     You can use the Show box and choose one of the other options such as Completed Jobs or Jobs Needing Approval.

C.   Click on a Job Name to go to the Job Home Screen. (Section VII)

D.   For CWP Staff users, there are two buttons on the right hand side of each job listing. Customers do not have these options.

1.     Delete Job – Never use this button once a job is in progress. It should only be used when a mistake has been made at job creation. It will ask to confirm if you want to delete a job.

2.     Set Job to Complete – Once a job is done, it can be taken off the active list by recording it as complete. This will be done by the CSR. The job is not deleted and all records are available for review through the system administrator.

VI.Creating a Job

A.   Click the New Job button.

B.   Name the Job.

1.      Give it a descriptive name.

a)    Big Bank Catalog

b)    Billings Beatles Concert Poster

C.   Job Code

1.     This shows up in Parentheses after the job name

a)    On tool bar

b)    In Job Listings

2.     It cannot be edited once created.

3.     You can enter a Job Code if you want some special sub name for a job or special tracking.

4.     It is optional.

D.   Project Code

1.     Do not use as it does not display.

2.     It can be edited in Settings, if desired.

E.   Click on Create the Job.

VII.          Job Home Screen

A.   You get to Job Home by selecting a job on the Jobs Screen.

B.   Job Home holds all action items for a particular job.

C.   Pages Section

1.     This tells you the number of Pages in a job and the number of pages requiring approval.

2.     Selecting the Total Link or the Requiring Approval links take you to the Pages Screen (Section VIII).

D.   File Transfer Section

1.     New Upload Link

a)    This opens the Uploads Dialog box.

b)    See Uploads Screen instructions in Section IX.

2.     Number of Uploads Link shows the number of file uploads for this job.

E.   Reviews Section

1.     This shows if any pages have been set for Review.

2.     If a page is set to review, it will indicate the number of pages and who is selected to review the page.

3.     See further instructions under Job Pages Screen in Section VIII.

F.    Notes Section

1.     New notes can be added to a job by clicking the new notes button.

2.     Every note is listed in chronological order from newest to oldest note.

3.     Each note states who wrote the note and the date and time of creation.

G.  Top Toolbar Icons Provide Quicker Navigation

1.     Jobs – Takes you back to the Jobs Page

2.     Admin – If you have permission, takes you to the admin section.

3.     Home – Takes you to the Job Home Screen. (Section VII)

4.     Pages – Takes you to the Individual Pages Screen. (Section VIII)

5.     Upload – Takes you to the Upload Screen. (Section IX)

6.     Download- Takes you to the Download Screen. (Section X)

7.     Settings – Takes you to the Settings Screen. (Section XI)

8.     History – Takes you to the Job History Screen. (Section XII)

VIII.       Job Pages Screen

A.   View Option

1.     Directly below the Tool bar in the middle of the screen is a capsule-shaped icon.

2.     This is the view icon.

3.     Select thumbnail view (on the left) or list view (on the right).

B.   Show Drop Down Box Option

1.     You can select various types of pages to view

2.     Each option is self-explanatory.

3.     This is helpful when there are many pages and they are in various stages of review. For example, to only see the pages needing review, select “Pages to be Reviewed”.

C.   Sort Drop Down Box Option

1.     You can sort the pages by name or Date Modified.

D.   Thumbnail View

1.     This is the default view.

2.     Each page shows a large Thumbnail and a small JPG icon to its right.

3.     JPG Icon

a)    Click on this icon and a small low-resolution JPG of the pages opens in a separate window. This JPG can be saved to a disk, printed or e-mailed.

(2)  Can print or email to someone

4.     Large Thumbnail

a)    This is a high-resolution PDF of the page.

b)    Selecting this will launch Smart Review.

5.     View Page Details

a)    The small “i” to the left of the Thumbnail will bring up Page Details Screen.

b)    This page shows every action that has occurred to this page including annotations, corrections, history and reviews.

c)     You would use this page when you want tracking information or history.

6.     Selecting Jobs is done by checking the small box to the left of the Thumbnail icon.

E.   List View

1.     The list view does not show the large icon.

2.     You can enter Smart Review (see Section XIII) by selecting the Page name.

3.     The JPG works the same as it does in the Thumbnail View.

4.     The list view refreshes faster in List View.

5.     You can select and deselect jobs exactly as in the thumbnail view.

F.    Action Tool Bar on Left-Hand Side

1.     Request Review

a)    Select a page

b)    Select Request Review

c)     A list of users is presented on a new screen.

d)    Select which users you would like to review the page.

e)     The user is sent an e-mail and you are notified of a successful request.

2.     Approve Pages

a)    If you have approval authority, selecting this tool allows you to approve a page.

b)    A dialog box appears on the screen.

c)     You can set the page as Approved or Reviewed.

d)    A Reviewed page still requires final approval.

e)     There is a dialog box to enter notes.

f)      Select OK to finish the action.

3.     Reject Pages

a)    If you have approval authority, you can reject a page.

b)    A dialog box appears on the screen.

c)     You can set the page to “Reviewed – Not OK” or “Reject Pages”

d)    Select OK to finish the action.

4.     Clear Requested Review

a)    This allows you to clear the reviews requested earlier.

b)    It can be used on reviews you have set.

5.     Download Low-res JPG

a)    You can download the low-resolution file.

b)    A dialog box appears with directory and resolution information

c)     Select Download.

d)    A progress bar appears tracking the download.

6.     Download Hi-res

a)    When authorized, you may be allowed to download the high resolution file.

b)    This is seldom useful since the file is large and is a ripped and trapped file and not a native file.

IX.            Upload Screen

A.   Uploads in Progress Link

1.     Tells you the status of jobs currently being uploaded.

2.     If the upload errors out or fails, it will say so here.

B.   Uploads Completed Link

1.     List the completed jobs.

a)    Date Complete – when the upload finished.

b)    User name – who uploaded the file.

c)     Name of the file.

d)    Size – File size

e)     Number of files in the upload

2.     You can select a job for more information.

C.   New Uploads Link (right side of the screen)

1.     This opens the Uploads Dialog box.

2.     The security message may appear

a)    On PC, select Always

b)    On Mac, select yes. Do NOT select Always as there is a bug in Apple’s version of Java.

3.     Uploads dialog box has two tabs. The first tab says Notes and has a box for the file name.

4.     Naming the file

a)    You must give the file a name.

b)    Be descriptive.

c)     Use names that indicate the job, what page and what aspect of the job.

(3)  BigBank_cat_pgs1-8

5.     You can enter notes with each file upload.

6.     The Uploads File tab is where you select the file or files you want to upload.

a)    You can upload one or more files.

b)    The default location is the last location where you uploaded a file. The desktop list should appear in the top bar.

7.     When you select upload, a progress bar will appear on the upper left corner of the screen.

8.     While the file is uploading, you can work in other programs. If you don’t go back to InSite, the program will log you out after the upload is complete.

X.  Download Screen

A.   This is where you would download files that Color World has uploaded for you.

B.   You do not use this page to approve or view pages. That is done in Smart Review.

C.   Download will be disabled in some customers and likely be empty for almost all customers.

XI.            Settings Screen

A.   This provides specific setting information about the job.

B.   It shows what users have access to the job.

C.   It shows the project code for the job.

D.   It currently does not have much use other than to change the project code.

XII.         History Screen

A.   Provides detailed history of this job.

B.   You get a list of every action and comment.

C.   It is time and date stamped

D.   It lists the person logged in.

E.   This helps you review the past if there are questions.

XIII.       Using Smart Review from within the Pages Screen.

A.   Opening Smart Review

1.     Click on the File name in the Pages Screen.

2.     Or click on the large icon.

B.   Selecting Pages

1.     On the left hand frame is a list of all pages for this job. You can go to another page simply by clicking on that file name.

2.     You do not have to return to the Pages Screen in order to view another page.

C.   Chat Bar

1.     At the top of the file is a chat bar.

2.     You open a chat session by clicking on the two-faced chat icon.

3.     Chat can be between customer and CSR or customer and your customer or two people within a customer.

4.     All chat records are recorded.

D.   Tool Bar

1.     Pan Out – pan on a zoomed image.

2.     Zoom In – Enlarge an image by selecting a portion of it.

3.     Zoom Out – Reduce an image one level.

4.     One to One – A one to one pixel view.

5.     Fit to Screen – Make the image fit on the screen. Often used after One to One or Zoom In.

6.     Text Annotation

a)    Brings up a text dialog box when you click on the icon and then click on a spot on your page.

b)    Allows 128 characters of text in a comment.

c)     Can be placed anywhere on the image.

7.     Draw Tool – Draw circles, lines or arrows around items.

8.     Draw Rectangle – Draw a rectangle anywhere

9.     Horizontal Guide – Determine horizontal measurements between the top of the document and another point.

10. Vertical Guide Same as above.

11. Delete Selected Annotation – Remove previous annotation.

12. Color Density – Measure the color promatch percentages of any particular point or color. Uses the CMYK model.

13. Ruler – Measures between any two points. Click and drag.

14. Hide Annotations – Hides all the current annotations on the screen.

15. Color Management – Turn on or turn off Color Management. Will be disabled if a profile has not been created. May be disabled in newer InSite versions while undergoing modification.

16. Rotate View – rotate the image 90 or 180 degrees

17. Approve Page – Allow you to approve the page from Smart Review.

18. Request Corrections – Allow you to reject a page and request corrections.

E.   Left Hand Tool Bar

1.     Top Frame

a)    A small thumbnail of the image on the screen.

2.     Middle Frame

a)    A list of current users

b)    The user with the hand has control.

3.     Bottom Frame

a)    Left Hand Icon – Shows a list of all pages in the file.

b)    Middle Icon – Allows you to select only specific separations (CMYK).

c)     Right Hand Icon – The info icon that displays a list of basic document information.

XIV.     Making Changes to a Page

A.   When you are done collaborating and marking up a file internally, then you make your own changes to the file.

B.   Return to the native application.

C.   Make the changes

D.   Rerun the file through Prepare

E.   Upload the file through InSite.

XV.        Problem Resolution

A.   Look over the Troubleshooting guidelines provided to each customer.

B.   Call Color World Printers at 800-332-3303 or 406-587-4508 and ask to speak to Mike Burgard.
